Job Description:
Job DescriptionPosition Overview:Process and distribute incoming
and outgoing LIHEAP mail. Track all incoming documents to the
agencyrelated to applications for LIHEAP. Monitor the receipt of
documents from the front desk, fax machineand other drop off
points. Verify that the required information for processing is on
the forms before theLIHEAP determiners process the application.
Place notation in the system that the application is readyfor
processing. File all applications and associated documents.
Essential Duties and Responsibilities: · Provide excellent customer
service while interacting with clients, internal customers,
andvisitors.· Be helpful, informative, respectful, and empathetic.
Reduce frustration for the clients byutilizing good listening
skills, providing accurate program information, and
minimizingunnecessary interactions.· Provide complete follow
through as promised, return calls in a timely manner.· Open all
LIHEAP mail and prepare for sorting to the proper employee. Deliver
all LIHEAP mail toappropriate employee/location.· Date stamp and
track all documents received and attach all documentation to
thecorresponding application.· Monitor the receipt of documents
from both the fax machine and the front desk. · Enter information
into the system the arrival of the application. · File client
applications and related documents accurately and in a timely
fashion in secured LIHEAP file system. · Purge and clean out files
annually. Help prepare to shred files at the end of the season. ·
Support other seasonal efforts of the program including preparing
documents and applications for mailing. · Prepare outgoing mail for
the agency. · Other duties may be assigned by the Executive
Director. Required Qualifications and Skills:· High School Diploma
or HiSET equivalent.· Attention to detail is important.· Effective
computer knowledge and ability to learn the systems in use in the
LIHEAP program.· Ability to use standard office equipment such as
copy or fax machine, mail machine, and foldingmachine (training
provided).· Resourcefulness and research skills a plus.· Ability to
work well with others and to communicate effectively is required.·
Ability to make phone calls to clients to verify information.·
Ability to sort, carry and file LIHEAP application and mail items.
Work Authorization: Must be eligible to work in the United States.
